Reports To: Project Manager / Operations Coordinator
Responsibilities
-
Maintain and organize project documentation, including RFIs, submittals, change orders, and meeting minutes
-
Support project managers with scheduling meetings, tracking deadlines, and preparing reports
-
Manage communication with subcontractors, vendors, and field staff
-
Ensure document control processes are followed, including version tracking and filing
-
Assist with invoicing, purchase orders, and timekeeping
-
Prepare presentation materials, transmittals, and internal updates
-
Coordinate site access, travel arrangements, and logistics for field personnel
-
Input and update project data into internal systems and project management platforms
-
Act as the administrative point of contact for client-facing correspondence
Requirements
-
High school diploma required; associate degree or higher preferred
-
1–3 years of administrative experience in a construction or engineering environment
-
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
-
Familiarity with Procore, Bluebeam, or other construction software is a plus
-
Strong organizational skills and attention to detail
-
Professional communication skills, both written and verbal
-
Ability to multitask in a fast-paced, deadline-driven environment

Reliable, team-oriented, and discreet with sensitive information
